1. Who is responsible
SeaVesselManager AS (organisation number 938 341 818), Nannestadgata 19, 2000 LillestrĂžm, Norway, is the data controller for the processing described here. You can reach us at info@seavesselmanager.com.
2. Visiting the website
- Data: IP address, browser and device type, the page requested and the time. This is recorded in the web server logs by our hosting provider.
- Purpose: running the site securely, finding errors and preventing abuse.
- Legal basis: our legitimate interest in operating and securing the site (GDPR art. 6(1)(f)).
- Fonts: the site loads the Inter typeface from Google Fonts, which means your IP address is sent to Google when a page loads.
3. Analytics (only with your consent)
We use Google Analytics 4 to understand how the site is used. Nothing is sent to Google Analytics until you click Accept in the cookie banner. If you decline, no analytics cookies are set and no data is sent.
- Data: pages viewed, approximate location, device and browser, referring site, and events such as clicking Request Demo or submitting a booking or access request. We do not send names or email addresses to Google Analytics.
- Purpose: improving the site and understanding which content leads people to contact us.
- Legal basis: your consent (GDPR art. 6(1)(a) and the Norwegian Electronic Communications Act section 3-15). You can withdraw consent at any time with the Cookie settings link in the footer.
- Provider: Google Ireland Limited / Google LLC.
4. Demo, quote requests and newsletter
- Data: name, work email, company, phone number (optional), number of vessels, your message, your time zone and the time you choose.
- Purpose: to confirm and hold the demo, create the online meeting, send you confirmation, reminder and calendar emails, and let you reschedule or cancel.
- How it is handled: the meeting is created in Microsoft Teams and our Microsoft 365 calendar. Emails are sent through Resend. Our staff get an internal notification, and the booking is stored as a sales lead in our CRM.
- Legal basis: taking steps at your request before a possible agreement (GDPR art. 6(1)(b)), and our legitimate interest in business-to-business contact (art. 6(1)(f)).
- Quote and demo requests from the pricing page: name, work email, company, number of vessels, the plan or service you ask about and your message. We use them to reply and prepare an offer. They are stored as a lead in our CRM, our team is notified by Telegram and email, and you receive a confirmation by email.
- Newsletter: only your email address, if you subscribe on the blog. It is kept in a separate newsletter list in our CRM, not as a sales lead. Legal basis: your consent (art. 6(1)(a)). You can unsubscribe at any time by emailing info@seavesselmanager.com.
5. Requesting access and downloading the software
- Data: name, work email, company, fleet size, how you intend to use the software, and later a download log (time, IP address and result of each download attempt).
- Purpose: a person reviews each request, we send you the approval or denial, issue a personal download link that expires and has a limited number of downloads, and keep a record of how the link is used.
- How it is handled: internal notifications go to our staff, emails are sent through Resend, and the request is stored as a lead in our CRM.
- Legal basis: taking steps at your request before an agreement (art. 6(1)(b)) and our legitimate interest in controlling who receives the software and protecting it from misuse (art. 6(1)(f)).
6. Running the software (licence and installation data)
Installed copies of SeaVesselManager contact our licence server about once a day. The information sent is technical and does not include the contents of your fleet, crew or maintenance data.
- Data: a random installation ID, the server's host name, software version, number of vessels, deployment mode, licence key and trial end date, plus the IP address the request comes from.
- Purpose: validating licences, managing trials, announcing updates, supporting you and understanding how many installations are in use.
- Legal basis: performance of the licence agreement (art. 6(1)(b)) and our legitimate interest in licence control and support (art. 6(1)(f)).
The software you install on your own server is under your control. If you store personal data of your own crew or staff in it, you are the controller of that data, not us.
7. Our customer and lead records (CRM)
Contact details and notes from demos, access requests, support and agreements are kept in our CRM so we can follow up and serve you. Access is limited to our staff and protected by sign-in with two-factor authentication. Some fields, such as phone numbers, are encrypted in storage.
8. Who we share data with
We do not sell personal data. We use the following service providers (data processors) who handle data on our behalf:
- Webhuset (hosting of the website, booking system, licence server and CRM)
- Google (Google Analytics, only with consent, and Google Fonts)
- Microsoft (Microsoft 365 email, calendar and Teams meetings)
- Resend (sending of transactional emails)
- Telegram (internal notifications to our staff about new bookings and requests)
We may also disclose data where required by law.
9. Transfers outside the EU/EEA
Some providers, including Google, Microsoft, Resend and Telegram, may process data in countries outside the EU/EEA, including the United States. Where this happens we rely on appropriate safeguards such as the EU-US Data Privacy Framework or the European Commission's Standard Contractual Clauses.
10. How long we keep data
- Server logs: for the period set by our hosting provider's log rotation.
- Analytics: for the limited retention period configured in our Google Analytics account.
- Demo bookings and access requests that do not lead to an agreement: up to 24 months after our last contact, then deleted or anonymised.
- Customers: for as long as the agreement lasts, and afterwards for as long as Norwegian accounting and other legal requirements demand.
- Licence and installation data: while the installation is active, and until we remove expired trials or you ask us to delete it.
11. Your rights
Under the GDPR you have the right to access your data, have it corrected or erased, restrict or object to its processing, receive it in a portable format, and withdraw consent at any time. To use these rights, email us at info@seavesselmanager.com. We aim to answer within 30 days.
If you believe we process your data unlawfully you can complain to the Norwegian Data Protection Authority (Datatilsynet).
12. Cookies and local storage
- _ga and _ga_C7XDPLXM8V (Google Analytics): distinguish visitors and sessions. Set only after you accept. Typically valid up to two years.
- svm-consent (local storage): remembers your cookie choice. Necessary for the banner to work.
- svm-lang (local storage): remembers whether you chose English or Norwegian.
13. Security
Traffic to our sites is encrypted with HTTPS. Staff access to internal systems requires sign-in with two-factor authentication, access to download links is limited by expiry and download counts, and sensitive fields are encrypted in storage.
14. Children
Our services are aimed at professionals in the maritime industry and are not directed at children.
